Website & Portal Terms

Guidance for using Keystone's website and approved client workspace.

These terms describe use of the Keystone Commercial Solutions website and client portal. They do not replace a signed engagement, establish fees, authorize a bid submission, or change an existing agreement.

What Keystone does

Keystone coordinates business development, opportunity activity, bid preparation, and account follow-through for landscaping, pest-control, and janitorial businesses in North Carolina and South Carolina, within an agreed scope.

The client remains the vendor of record: it owns its offer, supplies and confirms required qualifications, approves its prices and representations, holds any resulting contract, and performs the service work. Keystone remains responsible for its own agreed work and actions.

A conversation before a commitment

An inquiry, complimentary high-level Opportunity Scan, booking, or portal sign-in does not create a paid engagement or an obligation to purchase. We confirm basic fit and meet with the owner before preparing a customer-specific proposal. Custom scope and pricing follow the meeting and review of the notes.

Work, fees, capacity, responsibilities, and any special commercial terms must be agreed separately. Website descriptions are general information, not legal advice or confirmation that a particular business or bid qualifies. Keystone does not guarantee awards, revenue, or renewals.

Client decisions and submission authority

Research or preparation support does not give Keystone authority to sign certifications, set or change client prices, change payment or account details, or commit the client. The client normally submits its own bid. Keystone may transmit a final package only with the client's express approval of that exact version and where the applicable submission rules permit it.

Changes to an approved package require the relevant renewed approval. Any proposed commission or success-based fee needs its own agreed terms and review under the rules applicable to the engagement and procurement; these website terms do not approve such a fee.

Use your approved workspace

Use the account approved for your engagement. Do not share passwords, impersonate another person, try to bypass access restrictions, or access another client's information. Sign-in alone does not authorize access to every record.

Provide accurate information you are authorized to share, and tell Keystone about changes that affect the work. Use shared materials only for the business purpose for which they were provided and consistent with your engagement. Do not publish or disclose another party's nonpublic information without authorization.

If information appears outside your authorized workspace, stop using it and contact Keystone. Access may be restricted or removed when authorization ends or to address suspected misuse. Ending access cannot retract copies already downloaded.

Check decisions and deadlines

Portal summaries, draft notes, and status labels support coordination. They are not proof of an award, payment, signature, or completed submission. Confirm the relevant documents, dates, approvals, and actual receipts before relying on a status for a commitment.

The portal may be unavailable or show information that needs correction. For a time-sensitive issue, contact Keystone directly using the details below. Third-party booking and sign-in services also have their own terms.
